Changes to Interlibrary Loan online system – July 2014
The Interlibrary Loan system (Outlook Online union database and AGent Interlibrary Loan) has been upgraded. The new version offers a more user-friendly design and improved options for filtering and displaying search results. The new interface works best in current versions of Firefox and Chrome browsers.
The request form and the process for submitting a request remain the same. Patron request tracking is unavailable in this version. Please contact the Interlibrary Loan department (250-413-0385 or firstname.lastname@example.org) if you wish to enquire about the status of a request.
What's an Interlibrary Loan?
Our Interlibrary Loan Service allows you to borrow items not held in the Greater Victoria Library system. We can borrow these items from any library in Canada or the United States. Books, microfilms, and photocopies are available through this service.
What is not available through Interlibrary Loan?
- Items we already have at GVPL.
- Books published in the current calendar year.
- Reference material.
- DVDs, audio books, compact discs, videotapes, and other audio-visual and multimedia items.

Who can use this service?
Patrons with a valid GVPL card can request items by Interlibrary Loan.
Are there any charges?
The majority of libraries in Canada are free of charge, but some libraries may charge a nominal fee. Please indicate on the form when you submit your request the maximum amount you are willing to pay. Charges will be added to your library account when the item is received.
Is there a limit to the number of requests?
Yes, there is a limit of 8 active requests at one time.
How long does it take?
Interlibrary Loans can take up to four weeks within Canada depending on the response time, location and shipping mode of the lending library.
What happens when my Interlibrary Loan arrives?
You will receive an automated phone call or email notification. Interlibrary Loans are held at the Check-Out Desk.
Interlibrary Loans will also show on your library account as a hold ready for pick up. The lending library sets the due date and this could be shorter that our 3-week loan period. Please pick up your loan as soon as possible. You will be charged $1.00 if your Interlibrary Loan is not picked up.
Can I renew my Interlibrary Loan?
Yes, unless otherwise specified on your Interlibrary Loan and according to the lending library's polices, items can only be renewed twice. Only Interlibrary Loan staff can assist with renewals. To request a renewal, please call 250-413-0385. If staff are unavailable to assist you, please leave a message with your name, library card number and the ILLO # of the item you wish to renew.
What are my responsibilities?
You are responsible for returning materials on or before the due date. The overdue charge is $1/day. If the material is lost or damaged you are responsible for any costs levied by the lending library.
